We offer a comprehensive and flexible set of solutions from which you can choose to meet the specific payroll processing requirements of your business. After you engage us as your payroll processor, we set up a reporting and paycheck delivery schedule that meets your time requirements.
To provide the information we need to process your payroll, you can select from a choice of convenient options:
- Payroll time sheet - a form which lists your employees and which you complete and send to us. You can send the form by FAX or e-mail, or if you prefer, you can call us and give us the hours and other pay information over the phone. Within the next few weeks, you will also be able to “fill out” the time sheet for your company and send it to us by filling out and submitting a form on our Web site.
- Download from timekeeping system - if you have an existing time keeping system that can export data, you can e-mail the export file to us for automated entry into our payroll system. If you don’t have a time keeping system as yet, we can put you in contact with Nevada Financial Concepts, Inc. which will determine your needs and install and support one of several time and attendance systems.
- PaySuite PC - a windows application which lets you use your PC to enter data and produce your own reports. This software will interface with your existing (or Nevada Financial Concepts supplied) time and attendance products for automated entry of detailed hours, earnings, and deductions data. Once your payroll data is ready for processing, you simply send it to us in encrypted form via a secure Web site.
After you send your payroll data to us, we will create your payroll checks, make employee direct deposits, and generate your reports. Our payroll processing is quick and accurate and we are always only a phone call away for direct personal communication. We make a single debit from your bank account to fund all payroll requirements (including payroll checks, direct deposits, payroll taxes, and processing fees). A single debit to your account lets you avoid having to reconcile individual payroll checks and payroll tax funds transfers.
Each pay period we will provide:
- Payroll checks with earnings and deductions statements ready for signature and distribution. If you prefer we can sign checks with your signature and stuff each of them in a separate envelop to hand out to your employees.
- Direct deposit of net pay - each employee with direct deposit will have his/her net pay deposited to a savings or checking account. Rather than a paycheck, the employee will receive a direct deposit voucher complete with an earnings and deductions statement.
- Payroll journals with detailed payroll information for the current pay period. Where appropriate, reports also include month to date, quarter to date, and year to date totals.
- Department / Labor Analysis reports which break down your payroll costs by department for the current pay period, month to date, quarter to date, and year to date.
- Detailed tax liability reports.
- Report of cash needed to cover payroll and tax liabilities
- Deduction registers.
In addition to these standard payroll services, we also offer each of the following supplemental services:
- Cafeteria plan - contribution reports.
- Certified Payrolls - certified payrolls processed meet federal contract standards and we prepare and submit the Department of Labor form WH-347.
- Export File for Your Accounting Package - we can provide detailed entries or a summary entry of payroll expenses for accounting packages (such as QuickBooks) which can import data from text files.
- Custom Reports - we can generate specialized payroll reports upon request. You need only specify your requirements to our in-house software support staff.
- IRA, 401(k), Garnishments, Other Deductions - each pay period (or monthly, when appropriate) we prepare checks or make an electronic funds transfer to third parties for amounts deducted from employee paychecks. The employee sees the amounts and accumulated totals on his/her paycheck (or direct deposit voucher) and you will receive reports showing pay period, month to date, quarter to date, and year to date totals.
- New Hire reporting - we report all new hires to the proper state agency in the form required under federal (and state) law.
- Tip Reporting - we make the necessary calculation for both declared and allocated tips and then complete and submit the form 8846 to the IRS.
- Vacation / Sick earned and used tracking reports.
- Workers Comp Report - our payroll software calculate and reports workers compensation premiums by job code.
